Our client is a confidential company headquartered in Miami that is actively building out its philanthropy team. The company's grantmaking program has invested significant philanthropic capital across a diverse portfolio of giving areas, including youth development, education, arts and culture, civil society, and health. Our client is actively building its grants management infrastructure to support and grow its impact, making this an exciting opportunity to join a mission-driven team at a pivotal stage. About the Role
What You'll Do
The Philanthropy Associate supports the delivery of high-quality philanthropic services to family members, contributing to every stage of the giving process – from research and due diligence through grant execution, stewardship and reporting. This role is about enabling well-informed giving decisions: preparing materials, analysis, and background that allow the philanthropy team to operate at its best.
This is an excellent opportunity for someone who is intellectually curious, passionate about philanthropy, and eager to develop expertise in family philanthropy. The Associate will work closely with the philanthropy team and family members, participate in select meetings in a supporting capacity, and take on increasing responsibility over time.
Key Responsibilities
Research, Due Diligence and Grantmaking Support
- Conduct landscape research and organizational assessments to support the identification, evaluation, and recommendation of potential grantees across relevant issue areas.
- Support due diligence processes by gathering and synthesizing information on nonprofit organizations, reviewing proposals, and preparing clear summary materials and draft recommendations for review.
- Draft grant agreements, correspondence, and follow-up communications for review and approval.
- Monitor active grants: track reporting deadlines, review grantee reports, and flag issues or opportunities for timely attention.
- Support the maintenance of accurate and up-to-date grant records across the portfolio.
Family Meetings and Engagement Support
- Prepare briefing materials, agendas, and background research to support family meetings and planning conversations.
- Participate in select family meetings in a supporting capacity, taking notes, capturing action items, and ensuring follow-through on next steps.
- Support the development of educational materials and other tools that help family members deepen their philanthropic engagement.
- Manage administrative tasks related to family meetings, including scheduling and onsite logistics.
Portfolio Management and Stewardship
- Assist with the stewardship of the grantee portfolio, including tracking key milestones, supporting site visit preparation, and helping maintain strong grantee relationships.
- Coordinate with the Philanthropy Operations & Grants Manager on grant execution, payment documentation, and compliance requirements.
- Contribute to the preparation of portfolio reports, impact summaries, and family-facing communications.
- Support special projects and initiatives across the philanthropic platform.
Cross-Functional and Cross-Team Collaboration
- Work closely with the Philanthropy Operations & Grants Manager to ensure seamless coordination between advisory and operational functions, from due diligence through grant execution and close-out.
- Engage with other family office functions, including legal, finance and accounting, as needed, to support the delivery of philanthropic services.
- Manage team administration, including scheduling meetings, handling mailings, scanning documents, and additional tasks as requested.
- Contribute to a cohesive, high performing philanthropy team by sharing knowledge, supporting colleagues, and participating actively in team planning and learning.
Field and Sector Knowledge
- Stay current on trends, organizations, and emerging issues across relevant philanthropic focus areas; proactively share insights and opportunities with the team.
- Build knowledge on the broader philanthropic ecosystem, including peer family philanthropies, field intermediaries, and best practices in effective giving.
- Contribute to team learning by documenting research findings, capturing lessons from grant experiences, and supporting knowledge management across the platform.
Who You'll Work With
You will report to: Director of Philanthropy
Required Skills and Experience
- Bachelor's degree required, advanced degree or coursework in nonprofit management, social impact, business or related field a plus.
- 3-5 years of experience in philanthropy, grantmaking, or a closely related field; candidates with strong transferable skills from adjacent fields will be considered.
- Strong research and analytical skills: ability to synthesize complex material and prepare clear written materials and recommendations.
- Exceptional written and verbal communication skills, including the ability to draft client-ready materials for use with family members and other stakeholders.
- High level of organization and attention to detail; able to manage multiple projects and deadlines simultaneously.
- Comfort working in a lean, high-trust environment with a low-ego and collaborative orientation.
- Sound judgement, discretion and integrity.
- Experience with grants management systems and CRM platforms is a plus.
- Comfort with ambiguity and the ability to bring structure to open-ended situations.
- Prior experience in a family office, private foundation, or private philanthropy setting is a plus.
